Create, Manage, and Convert Sales Orders into Invoices

A Sales Order is a document created by the seller after accepting a quotation or receiving a purchase order from a customer. It records the details of the customer's order before the actual sales invoice is issued.


The sales order includes important information such as customer details, product or service information, quantity, price, tax, delivery details, payment terms, and notes for the customer. It helps businesses manage and track customer orders efficiently.


In TIGG, users can create a new sales order, edit or approve draft sales orders, and convert approved sales orders into an invoice once the goods are delivered or services are completed.

Essential Requirements
Before creating a Sales Order, it is recommended to ensure the following master data is available in the system:
  • Customer
  • Product/Service

Sales Orders List
The sales order List can be accessed by navigating to Sales → Sales orders. This page displays all sales orders created in the system and allows users to quickly manage and track them.


By default, the list displays the latest sales orders, including both Draft and Approved sales orders. These sales order can also be viewed separately through their respective Draft and Approved tabs

Searching, Filtering, and Sorting
Users can easily locate sales orders  in the list by using the following options:
  • Search – Find sales orders quickly by entering relevant details such as sales orders number or customer name.
  • Filter – Apply filters to narrow down sales orders based on specific criteria.
  • Sort – Sort the sales orders list based on columns such as date, customer name, or sales orders number.

Exporting Sales Orders
The Sales Orders list can be exported by selecting Options → Export. This allows users to download the sales orders data for reporting or analysis purposes.

Viewing Voided Sales Orders
Users can view sales orders that have been voided by selecting Options → View Voided. This section displays all sales orders that are marked as void.

Viewing Processed Sales Orders
Sales Orders that are already marked as processed can be viewed by selecting Options → View Processed. This helps users separate completed sales orders from pending ones.

Bulk Actions
When one or more sales orders are selected in the list, Bulk Action options become available. Users can perform the following actions on the selected sales orders:
  • Void Selected – Mark the selected sales orders as void.
  • Export Selected – Export only the selected sales orders.
  • Process Selected – Mark all sales orders selected as Processed

Tracking sales orders Status
The sales orders list also includes a Status column, which helps track the progress of each sales order. In addition to the default status, organizations can create custom statuses to track sales orders progress more effectively.


Custom sales orders statuses can be created from:
Configuration → Apps→ Custom Status → Sales orders Status
This feature helps businesses monitor sales orders through different stages of the sales process.

Create a Sales Order
Follow these steps to create a Sales order in Tigg:
  1. Go to Sales →Sales Order
  2. Click Add New.
  3. Select the Location at the top of the form if the Billing Location feature is enabled. The selected location will determine the billing location for the sales order.
  4. Select the Customer Name from the dropdown list.
  • If the customer does not exist, click Add New to create a customer.
  1.  The Reference Number field in a sales order is used to record an external or internal identifier related to the transaction. This may include any other reference that helps in tracking and reconciling the sales order. It improves traceability and makes it easier to link the order with related documents or communications.
  2. Enter the Sales Order number.
    • The number can be automatically generated if numbering is set to Auto in configuration.
    • It can also be entered manually if numbering is set to Manual.
  3. Enter the Sales order Date and Delivery Date.
    • The sales order date indicates when the sales order was created in the system.
    • The delivery date indicates when the goods or services are expected to be delivered to the customer.
  4. Select the Currency and enter the Conversion Rate if the Sales Order needs to be prepared in a currency different from the organization’s base currency.
  5. Add the Product or Service lines.
    • Select the item from the list.
    • If the item is not already created, click Add New to create it.
    • Enter the Quantity, Rate, Discount, and Tax details for each item.
  6. Enter Terms and Conditions if required.
    • These terms will appear on the Sales order document and inform the customer about conditions related to the sale.
  7. Add Reporting Tags if required.
    • Reporting tags can be used to categorize or label sales order for better tracking and reporting.
  8. Add Notes or Custom Fields if additional information needs to be included.
  9. Click Save to record the  Sales order 

 
The sales order can be saved as:
  • Draft – Can be reviewed or modified later.
  • Approved – Indicates that the sales orders are finalized and ready to be shared with the customer.
After approval, the sales orders can be converted into other sales transactions such as Sales Invoices.

Options Available in Sales Order

Once a sales order is created, several actions are available through the Options menu.


Edit

Allows you to modify the Sales order details such as products, pricing, taxes, or customer information.


Make Duplicate

Creates a copy of the selected sales order. This is useful when preparing similar sales orders for different customers.


Mark as Processed

A Sales order  is automatically marked as processed when it is converted into a Sales Invoice.

It can also be manually marked as processed if the Sales order  is no longer pending or does not require further action. Marking a Sales order as processed helps keep the Sales Order list organized by allowing users to focus only on pending  Sales orders that still require follow-up or conversion into a transaction.


Void Sales Order 

Marks the Sales Order as invalid. Once the Sales Order is voided, it cannot be reversed.


Preview / PDF / PrintYou can preview, print, or export the Sales Order as a PDF.

Tigg provides default printing templates, which can also be customized from:
Configuration → Printing Templates.


Email Sales Order 

The Email option allows you to send the sales order directly to the customer from Tigg. When this option is selected, an email is generated using the predefined email template, which helps maintain a consistent and professional communication format.

The sales order is automatically attached to the email as a PDF document, allowing the customer to easily review or download the sales order. You can also review or modify the email content before sending it to ensure that the message includes any additional information if required.

Converting a Sales order to an Invoice

Once a Sales Order is approved, it can be directly converted into a Sales Invoice.
When converting:
  • All details such as customer information, products, quantities, prices, discounts, and taxes are automatically imported into the invoice.
  • You can still edit any details before saving the invoice.
This feature helps reduce manual data entry and ensures consistency between the Sales Order and the final invoice.

More Option in Sales order

Tasks
Tasks can be created and linked to a specific sales order to track follow-ups or required actions related to that sales order. Each task may include details such as the task title, description, assigned user, due date, and status. This helps teams coordinate activities and ensure that sales order–related actions are completed on time


Documents

The Documents section allows users to upload and attach supporting files related to the sales order. These documents remain linked to the sales order and can be accessed whenever the sales order is opened, making it easier to store and reference relevant files such as specifications, approvals, or supporting agreements.


Activity
The Activity section maintains a record of all actions related to the sales order. It includes an audit log of user activities, user comments or notes, and email logs generated from the sales order. This provides a clear history of updates, communications, and changes made to the sales order.

Sales Order Fields and Description
When creating a Sales Order  in Tigg, several fields are available to capture customer details, product information, pricing, taxes, and additional terms related to the Sales Order. The following table explains each field used in the Sales Order form along with its purpose and whether the field is required or optional.
