Create, Track, and Convert Quotations into Sales Orders or Invoices

A quotation is a document that provides an estimated price for the products or services offered to a customer. It typically includes details such as item descriptions, quantities, prices, taxes, and terms of the sale.


Customers often request a quotation before confirming a purchase so they can review the proposed cost and terms. A quotation may also be referred to as a Proposal, Estimate, or Pro Forma Invoice.


In Tigg, quotations help businesses formally present pricing to customers and maintain a record of proposed sales before they are converted into confirmed transactions.

Essential Requirement
Before creating a quotation, ensure that the following records are already created in the system:
  • Customer
  • Products or Services (Items)
These records are required because the quotation must be linked to a customer and must include the products or services being offered.

Quotation List
The Quotation List can be accessed by navigating to Sales → Quotation. This page displays all quotations created in the system and allows users to quickly manage and track them.


By default, the list displays the latest quotations, including both Draft and Approved quotations. These quotations can also be viewed separately through their respective Draft and Approved tabs.

Searching, Filtering, and Sorting
Users can easily locate quotations in the list by using the following options:
  • Search – Find quotations quickly by entering relevant details such as quotation number or customer name.
  • Filter – Apply filters to narrow down quotations based on specific criteria.
  • Sort – Sort the quotation list based on columns such as date, customer name, or quotation number.

Exporting Quotations
The quotation list can be exported by selecting Options → Export. This allows users to download the quotation data for reporting or analysis purposes.

Bulk Actions
When one or more quotations are selected in the list, Bulk Action options become available. Users can perform the following actions on the selected quotations:
  • Void Selected – Mark the selected quotations as void.
  • Export Selected – Export only the selected quotations.
  • Process Selected – Mark all quotation selected as Processed

Viewing Voided Quotations
Users can view quotations that have been voided by selecting Options → View Voided. This section displays all quotations that are marked as void.

Viewing Processed Quotations

Quotations that are already marked as processed can be viewed by selecting Options → View Processed. This helps users separate completed quotations from pending ones.

Tracking Quotation Status
The quotation list also includes a Status column, which helps track the progress of each quotation. In addition to the default status, organizations can create custom statuses to track quotation progress more effectively.


Custom quotation statuses can be created from:
Configuration → Apps→ Custom Status → Quotation Status


This feature helps businesses monitor quotations through different stages of the sales process.
Creating a Quotation
Follow these steps to create a quotation in Tigg:
  1. Go to Sales → Quotation.
  2. Click Add New.
  3. Select the Location at the top of the form if the Billing Location feature is enabled. The selected location will determine the billing location for the quotation.
  4. Select the Customer Name from the dropdown list.
    • If the customer does not exist, click Add New to create a customer.
  5. Enter the Quotation Number.
    • The number can be automatically generated if numbering is set to Auto in configuration.
    • It can also be entered manually if numbering is set to Manual.
  6. Enter the Quotation Date and Expiry Date.
    • The expiry date indicates how long the quotation will remain valid.
  7. Select the Credit Term applicable for the quotation.
  8. Select the Currency and enter the Conversion Rate if the quotation needs to be prepared in a currency different from the organization’s base currency.
  9. Add the Product or Service lines.
    • Select the item from the list.
    • If the item is not already created, click Add New to create it.
    • Enter the Quantity, Rate, Discount, and Tax details for each item.
  10. Enter Terms and Conditions if required.
    • These terms will appear on the quotation document and inform the customer about conditions related to the sale.
  11. Add Reporting Tags if required.
    • Reporting tags can be used to categorize or label quotations for better tracking and reporting.
  12. Add Notes or Custom Fields if additional information needs to be included.
  13. Click Save to record the quotation.

    The quotation can be saved as:
    • Draft – Can be reviewed or modified later.
    • Approved – Indicates that the quotation is finalized and ready to be shared with the customer.
    After approval, the quotation can be converted into other sales transactions such as Sales Orders or Invoices.

    Options Available in a Quotation
    Once a quotation is created, several actions are available through the Options menu.

    Edit

    Allows you to modify the quotation details such as products, pricing, taxes, or customer information.


    Make Duplicate

    Creates a copy of the selected quotation. This is useful when preparing similar quotations for different customers.

    Converting a Quotation to an Invoice/ Sales order
    Once a quotation is approved, it can be directly converted into a Sales Invoice.


    When converting:
    • All details such as customer information, products, quantities, prices, discounts, and taxes are automatically imported into the invoice.
    • You can still edit any details before saving the invoice.
    This feature helps reduce manual data entry and ensures consistency between the quotation and the final invoice.
    A quotation can also be converted into a Sales Order, similar to converting it into an invoice, by selecting the “Convert to Sales Order” option.


    Void Quotation

    Marks the quotation as invalid. Once a quotation is voided, it cannot be reversed.


    Preview / PDF / Print

    You can preview, print, or export the quotation as a PDF.

    Tigg provides default printing templates, which can also be customized from:
    Configuration → Printing Templates.


    Email Quotation

    The Email Quotation option allows you to send the quotation directly to the customer from Tigg. When this option is selected, an email is generated using the predefined email template, which helps maintain a consistent and professional communication format.


    The quotation is automatically attached to the email as a PDF document, allowing the customer to easily review or download the quotation. You can also review or modify the email content before sending it to ensure that the message includes any additional information if required.


    Mark as Processed

    A quotation is automatically marked as processed when it is converted into a Sales Order or an Invoice.

    It can also be manually marked as processed if the quotation is no longer pending or does not require further action. Marking a quotation as processed helps keep the quotation list organized by allowing users to focus only on pending quotations that still require follow-up or conversion into a transaction.

    More Option in Quotation
    Tasks
    Tasks can be created and linked to a specific quotation to track follow-ups or required actions related to that quotation. Each task may include details such as the task title, description, assigned user, due date, and status. This helps teams coordinate activities and ensure that quotation-related actions are completed on time.


    Documents

    The Documents section allows users to upload and attach supporting files related to the quotation. These documents remain linked to the quotation and can be accessed whenever the quotation is opened, making it easier to store and reference relevant files such as specifications, approvals, or supporting agreements.

    Activity
    The Activity section maintains a record of all actions related to the quotation. It includes an audit log of user activities, user comments or notes, and email logs generated from the quotation. This provides a clear history of updates, communications, and changes made to the quotation

    Quotation Fields and Description
    When creating a quotation in Tigg, several fields are available to capture customer details, product information, pricing, taxes, and additional terms related to the quotation. The following table explains each field used in the quotation form along with its purpose and whether the field is required or optional.
